BetterFinanceView ("we," "our," or "us") is committed to protecting the privacy of accounting professionals and their clients. This Privacy Policy explains what data we collect, how we use it, and your rights.

1. Information We Collect

Account Information

When you register, we collect your name, email address, firm name, and timezone.

QuickBooks Online Data

When you connect a QuickBooks Online company, we retrieve financial data through Intuit OAuth using BetterFinanceView's read-only QBO client behavior, including transaction records, chart of accounts, and summary reports. This data is used solely to run automated bookkeeping reviews and is never sold or shared with third parties.

QuickBooks Desktop IIF Data

If you upload a QuickBooks Desktop IIF export, that file is transaction source data. Desktop IIF uploads are stored as an explicit exception to the QBO no-transaction-mirror promise: encrypted at rest in private storage for re-audit, deletable at the client level, and subject to firm retention controls when Desktop support is enabled.

Usage Information

We collect standard server logs (IP addresses, browser type, pages visited) and application usage data (which features you use, audit frequency) to operate and improve the Service.

Communications

If you contact us, we retain that communication to respond and to improve our support.

2. How We Use Your Information

  • To provide, operate, and improve the Service
  • To send Monday Briefings and notifications you have opted into
  • To generate reports and audit summaries on your behalf
  • To respond to support requests
  • To detect and prevent fraud or security incidents
  • To comply with legal obligations

3. Data Storage and Security

Your data is stored on Supabase (PostgreSQL), hosted in the United States. QuickBooks OAuth tokens are encrypted at rest using AES-256-GCM before storage. Desktop IIF uploads, when used, are stored encrypted at rest in private storage. We use row-level security policies to ensure firm data is strictly isolated — no user can access another firm's data. Access to production systems is limited to authorized personnel only.

4. Data Sharing

We do not sell your data. We share it only with:

  • Intuit: As required for the QuickBooks Online OAuth integration. BFV uses the authorized connection only for read operations.
  • Anthropic: Transaction descriptions may be sent to Claude AI for categorization suggestions. No personally identifiable information beyond transaction descriptions is transmitted.
  • Resend: Our email delivery provider, used to send Monday Briefings and notifications.
  • Supabase: Our database and authentication infrastructure.
  • CloudPanel VM: Our application hosting infrastructure.
  • Law enforcement: Only when required by valid legal process.

5. Your Rights

You have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your account and associated data
  • Export your data in a machine-readable format
  • Opt out of non-essential email communications at any time

6. Retention

We retain your data for as long as your account is active. If you want your data removed, email us at [email protected] and we will work through it with you. Anonymized, aggregated analytics may be retained indefinitely.

7. Cookies

We use session cookies required for authentication. We do not use third-party advertising cookies. You can disable cookies in your browser, but this will prevent you from logging in.

8. Children's Privacy

The Service is not intended for individuals under 18. We do not knowingly collect data from minors.

9. International Transfers

Data is stored and processed in the United States. If you access the Service from outside the US, your data will be transferred to and processed in the US. By using the Service, you consent to this transfer.

10. Changes to This Policy

We will notify you by email before material changes to this policy take effect. Continued use of the Service constitutes acceptance.
